Position Summary The Health & Safety Coordinator supports the following functions: health and safety, environmental, workers\u2019 compensation, contractors, and vendors under the guidance of the Manager - Health & Safety, Field Operations. The position provides administrative support to the Manager - Health & Safety, Field Operations; Manager - Health & Safety, Mentor Operations; Director and Managers - Health & Safety, AST; Director - Risk Management; and the Director - Environmental Compliance. #monsterste Duties Organize, setup, and maintain incident investigation and subsequent workers compensation files for Field Sales, Field Service, and AST Service operations in North America\u00a0 Assists manager\/supervisor with review of incident investigation reports for completeness Maintains three points of contact between injured employee, the provider or claims adjuster, and the supervisor for North American Field Sales, Field Service, and AST Follow up with each injured employee after each doctor contact to ensure proper injury treatment, documentation, and satisfactory case progression towards closure Ensure that each workers\u2019 compensation file is complete with doctor notes, restricted duty notes and lost time notes as well as work releases\u00a0 Tracks doctor\u2019s appointments, return to work dates, and restricted duty days until each case is closed Interface with STERIS payroll and benefits departments for lost time claims to coordinate onset of workers compensation payments and cessation of STERIS payroll payments and benefits Works with injured employees, AST plants, and Field Sales and Service supervisors to assure timely return to work as a part of Post Injury Case Management Under supervision participates in our quarterly worker\u2019s compensation claims reviews with our Third Party Administrator and our STERIS Risk Manager for North American Field Sales, Service, and AST Provides safety information, procedures, and documentation for inclusion in contract documentation for pre-qualification as requested\u00a0 Under supervision, maintains legally mandated OSHA record keeping documents for North American Field Sales, Field Service, and AST Services Post monthly corporate statistics for North American Field Sales and Service, and AST Services Organization and tracking of the following mandatory programs: Annual Tuberculosis testing for North American Field Sales and Field Service Under supervision, coordinates the mandatory Tuberculosis testing program Under supervision, perform annual and on-going communication for North American Field Sales and Service employees for mandatory TB testing program Support Manager Health & Safety in coordinating the TB testing program that is delivered for field sales and service management in conjunction with the annual sales and service meeting Maintain all TB records in database for North American Field Sales and Service Track all North American Field Sales and Service employees until TB test or chest x-rays are completed annually Send monthly reminders until all TB testing is complete Provide certification letters for Field Sales and Field Service employees requiring verification of TB testing to meet yearly access requirements for entering Customer locations Hepatitis B vaccination program for North American Field Sales and Service: Under supervision, coordinates the mandatory Hepatitis B vaccination program for North American Field Sales and Service Maintains all Hepatitis B records for North American Field Sales and Service employees Send out reminders to North American Field Sales and Service participants to ensure Hepatitis B vaccination series is received during the prescribed time frames Provide certification letters for North American Field Sales and Service employees who require them before they can enter Customer locations Duties - cont'd Provides administrative support to the assigned managers which include: Preparing confidential correspondence, reports, performance appraisals, faxes, check requests, e-mail messages, using PC applications such as Word, Excel, Outlook, Power Point, etc. Maintaining correspondence chronological files. Ship training workbooks to newly hired Field Service employees prior to their arrival for orientation Answering telephone calls and records and distributes telephone messages and\/or transfers calls appropriately. Sorting and distributing incoming daily mail and prepares items for outgoing mail, Fed-ex, etc. Monitoring incoming e-mail messages. Makes copies, coordinates booklets, manuals, and\/or reports and maintains all files. Assists in the preparation of departmental weekly\/monthly safety and workers\u2019 compensation reports that include: Gathering and sorting data pertinent to the report. Compiling department performance and\/or statistics. Formatting the report for presentation to other members of management. Responsible for obtaining insurance certificates. Receive and send request for insurance certificate. After receipt of certificate, ensure the requester receives the same. Miscellaneous Duties Maintain filing system for Safety Managers. Provide backup duties for the Health, Safety, and Facilities coordinator as needed Distribute various mailings to the field and to AST plants. Attend various safety meetings. Arrange rental car reservations for Service new hire driver training classes Education Degree High School Diploma or GED Required Experience High school diploma or equivalent; Associate Degree preferred. A minimum of two years of administrative support experience. Extensive knowledge of Excel, Word, PowerPoint, and Outlook is required. Background in safety, health, medical, insurance or similar field would be a plus. Working in a Standard office environment Must be able to use the computer, calculator, fax machine and telephone Excellent interpersonal and telephone skills. Must demonstrate a high level of professionalism and integrity. Must be able to work effectively and perform various tasks on a daily basis with little supervision and in a fast-paced environment. Must be able to analyze data and perform calculations for reports and\/or special projects. Determine priorities when multiple tasks are presented.
