Job Summary

The Corporate Health & Safety Sr. Administrative Assistant will provide advanced, and confidential support to the Vice President of Health & Safety, as well as responding to department inquiries (including communication with external customers), assisting with the development and administration of various departmental programs and preparing reports, as well as performing administrative and office support activities for multiple managers.

The Corporate Health & Safety Sr. Administrative Assistant will also provide support in multiple systems that support Health & Safety including SHRMIS, IIRT, 3E, Safety Dashboards, Regulatory Inspections, SharePoint.

Other Duties

Monthly administration and distribution of global performance reports

Standard and ad-hoc report generation

Preparation of formal letters, detailed reports and spreadsheets including continual programming and automation updates

Coordination and validation of periodic U.S. and global data gathering project

Respond to CDL drug/alcohol previous employment history requests

Proper telephone etiquette and the ability to respond to internal/external customer requests

Mail distribution

Management of Oasis ordering and invoice processing

Maintaining department record retention

Maintain department schedule and member calendars

Meeting and event coordination including room reservation, pre-ordering, and follow-up as necessary

Demonstrate strong knowledge of various software packages, including Microsoft Office Suite, SharePoint, Oracle Procurement, as well as the ability to quickly learn various business related software systems

Demonstrates working knowledge and analytical abilities to review information and generate reports in Microsoft Excel and Access

Demonstrates ability to work independently, as well as, be a team player in a team environment

Demonstrated ability to handle multiple tasks in a fast-paced environment under minimal supervision with a high attention to detail

Minimum Qualifications

Bachelor’s Degree or equivalent work experience is preferred
